Art Class Policy & Guidelines

This policy page outlines the key guidelines to ensure a smooth and enriching learning experience for all students.

1. Fee Structure and Payment Terms

Monthly Fee: Fees to be paid at the beginning of every month. The monthly fee secures the kid’s seat in a small group where they receive individual tailored guidance from me for every project they do. Even if the child misses classes, their seat is still reserved. This helps ensure that my class sizes are small and that the kid can return to their place in the program whenever they’re able to attend.
Time Commitment: The class is still conducted whether or not a student attends, as my time and effort are dedicated to the session regardless of attendance. I kindly ask that you value this commitment, as the preparation and teaching remain the same regardless of attendance. Please note that the monthly fee will remain the same irrespective of missed classes. For compensation of these classes, please read section #2 below.
Payment Deadline: Payments are due by the 5th of every month. Payments should be made at the beginning of the month and can be made via Google Pay, UPI or bank transfer. If you need any other means of payment, you can always connect with me and sort it out.
Class Schedule: In some months, there may be 5 classes due to how the calendar falls. Please note that while I ensure each batch receives 4 classes per month, any extra classes in months with 5 weeks are offered for free. This is my way of ensuring the learning experience continues smoothly, and I’m happy to provide this extra class. So students can continue to come on all the weeks in the month in their allotted batches.

2. Attendance, Missed Classes and Absence

Attendance Importance: Regular attendance is crucial for the kid's artistic growth. Each class builds upon the previous lessons, and consistent participation helps ensure steady growth. With all these years of experience, I have seen tremendous growth in students who attends the classes regularly.
Missed Class Policy: I completely understand that inspite of trying to be regular, the child might miss classes due to illness or exams. In order to cater for this, if the child misses a class, I do provide compensation class with prior notice. Please note that the monthly fee will not be adjusted for these missed classes. However, they can compensate the classes.
Compensation Classes: Compensation classes will be offered for planned absences with prior notice only. Kids can take up to a maximum of 2 compensation classes per month. This ensures compensations are equally distributed for all the students.
Prior Notification for Compensations: If the child needs to attend a compensation class, please discuss with me atleast one day in advance so that we can plan and arrange a suitable time. Without prior discussion, please do not send kids for compensation classes as I only handle a limited set of students each batch and the seats are limited.
Absence Without Intimation: If a student misses classes without prior notice, I will not be able to provide compensation classes unless and until there is a very valid reason for no intimation.
Non-Payment and Seat Allocation: If the monthly fees is not paid by the due date and there is no communication about the absence of the child for 3 consecutive classes, the child’s seat will be allocated to the next wait-listed student. Almost every batch is full and there are kids waiting to join the class. So to retain the child’s place, please ensure timely fee payment and communicate any absences in advance.
Re-enrollment: If the seat is reallocated, re-enrollment will depend on availability of seat. The kid may have to wait for the next available seat in the same or different batch to resume classes.

3. Punctuality and Class Timings

Class Timings: Class timings are mentioned in the description of the "Madhula Creations Class" parents’ WhatsApp group.
Class Start Times: Please ensure that the kid arrives on time for their class. Classes will begin promptly at their scheduled time.
Late Arrivals: If a student arrives late, the class will still finish at the scheduled time. I will not be able to extend the class or provide extra time for late arrivals, as this would affect the schedule of other students.
Missed Time: Unfortunately, any time missed due to late arrival cannot be made up, so I encourage students to make every effort to be on time.
Pick-Up Time: Please make arrangements to pick up your child at the designated time. As much as I value your child’s learning, I also kindly ask you to value my time. It's very hard to provide supervision beyond class hours.
Delayed Pick-Up: In case of any delays, please inform me in advance. Repeated late pick-ups may disrupt the class schedule and will need to be addressed.

4. Child Safety

Pick-Up Requirement: Child Safety is one of my top priority. All children must be picked up from the class by a parent or guardian. I will not allow any student to leave the classroom on their own unless I have explicit consent from the parent.
Consent for Leaving Alone: If you would like your child to leave the class without being picked up, please let me know in advance. Without this, I will keep the child in the classroom until you or a designated guardian arrives.
Authorized Pick-Up: If someone other than a parent or usual guardian is picking up the kid, please inform me in advance. Without prior notification, I will not send the child with anyone else for safety reasons.

5. Holidays and Breaks

Regular Holidays: Classes will not be held on few important public holidays such as Pongal, Diwali, Christmas etc. Holidays will be announced prior in the WhatApp group. Also, a compensation class will be arranged from my side for these holiday classes so that the child doesn't miss the syllabus.
December Long Holidays: There will be a one-week break during the last week of December as most of the kids will be traveling or out of station and will not be available for the class. However, I will ensure that every batch still gets their full set of 4 classes for the month. Compensation classes will be arranged as needed to make up for the missed sessions during the break, so the child will not miss out on their learning.I will share the schedule for these compensations in advance in the WhatsApp group.
Special Breaks: I understand that children may need breaks during exams or holidays. However, long breaks are not encouraged as they affect the learning flow. The month of May alone can be adjusted based on your preferences. No other breaks will be entertained.

6. Class Guidelines and Expectations

Classroom Etiquette: I encourage a respectful and positive learning environment. All students are expected to behave kindly towards their peers and follow the instructor's guidance.
Art Materials: All art materials provided during registration are to be brought by the student to every class in neat condition.
Art Material Maintenance: Materials given to the students are strictly to be used for our class only. Please refrain from using it for school or any other projects outside our class.
No Additional Items: Please ensure that the child is not carrying any toys, fancy boxes, or other non-essential items, as they can cause distractions during class. I aim to keep the focus on creativity and learning alone.
Avoid Distracting Wearables: Any wearables that may interfere with the child’s ability to draw, such as bangles, large bracelets, or other accessories, should be avoided. This helps the child focus better and stay comfortable while working on their art.
Responsibility for Materials: While every effort is made to maintain an organized environment, I will not be responsible for the loss of any personal items, including art supplies, bottles, toys, or accessories. To make it easy for them, you can ensure that the child’s belongings are clearly labeled. And also ensure they don't carry or use the given art materials outside of our class in school or for home projects.

7. Refunds and Cancellations

Refunds: All fees are non-refundable. Once payment is made for the month, it is final and cannot be refunded, even in the case of non-attendance.
Cancellations: If you wish to withdraw your child from the class, please inform me at least 3 weeks in advance so that any pending work/tests can be completed and certificates (if applicable) can be issued before the student leaves. Please note that no refunds will be provided for the current month.

8. Communication and Updates

Communication Methods: All important updates regarding classes, holidays, and events will be shared via "Madhula Creations Class" parents’ WhatsApp group.
